Space & Hall Usage Policy
1. Purpose
This policy outlines the terms and conditions governing the use of all halls, rooms, and facilities within Dollai Nawabpur Convention Center to ensure smooth operations, safety, and a premium event experience.
2. Booking & Confirmation
All bookings must be confirmed through a signed agreement and advance payment.
Tentative bookings will be held for a limited period (maximum 3 days) and automatically released if not confirmed.
Final guest count, event schedule, and service requirements must be submitted at least 7 days prior to the event.
3. Usage Time & Duration
The booking duration includes setup, event time, and dismantling.
Standard booking duration: 6–8 hours (customizable based on package).
Overtime usage will incur additional charges on an hourly basis.
Events must end within the agreed time to comply with local regulations.
4. Access & Control
Access to the venue will only be granted during the booked time slot.
The management reserves the right to restrict access to certain areas for operational or safety reasons.
Only authorized personnel and approved vendors are allowed within service areas.
5. Capacity & Safety Compliance
Clients must adhere to the maximum capacity of each hall as defined by management.
Overcrowding is strictly prohibited due to safety regulations.
Emergency exits, fire equipment, and access routes must remain unobstructed at all times.
6. Catering & Food Services
All catering services must be arranged through the in-house catering team unless otherwise approved.
Outside food and beverages are not permitted without prior written approval.
Food safety, hygiene, and quality standards will be strictly maintained.
7. Decoration & Setup
Decoration must be done by approved vendors or in-house team.
No permanent fixtures, drilling, or damage to walls, ceilings, or floors is allowed.
Use of candles, fire, smoke machines, or hazardous materials requires prior approval.
All decoration materials must be removed immediately after the event.
8. Audio-Visual & Equipment Use
All in-house AV equipment must be operated by authorized personnel.
External equipment must be approved by management before installation.
Any damage to equipment will be charged to the client.
9. Cleanliness & Waste Management
Clients are responsible for maintaining basic cleanliness during the event.
All waste must be disposed of in designated areas.
Additional cleaning charges may apply for excessive mess or damage.
10. Security & Liability
The management provides general security; however, it is not responsible for loss or damage of personal belongings.
Clients are responsible for the conduct of their guests and vendors.
Any damage to property will be billed to the client.
11. Parking & Traffic Management
Parking facilities are subject to availability and are managed by venue staff.
Improper parking or traffic obstruction is not permitted.
Valet service (if applicable) will be managed by the venue.
12. Noise & Conduct Policy
Events must comply with local noise regulations.
Loud music must be controlled after designated hours as per government rules.
Any illegal, unethical, or disruptive activities are strictly prohibited.
13. Prohibited Activities
The following are strictly prohibited:
Use of illegal substances or activities
Fireworks or explosives without permission
Smoking in non-designated areas
Political or controversial gatherings without prior approval
14. Damage & Compensation
Any damage to venue property, furniture, or equipment will be charged at replacement or repair cost.
A security deposit may be required for certain events.
15. Force Majeure
In case of unforeseen circumstances (natural disasters, government restrictions, etc.), the venue reserves the right to reschedule or modify bookings.
16. Compliance with Laws
All events must comply with local laws, regulations, and permits.
Necessary permissions (if required) must be arranged by the client.
17. Management Rights
Management reserves the right to refuse or cancel any booking that violates policies.
Final authority rests with venue management in resolving disputes or operational issues.
18. Acceptance of Policy
By confirming the booking, the client acknowledges and agrees to comply with all the terms stated in this policy.
Booking Cancellation Policy
1. Cancellation Request Procedure
All cancellation requests must be submitted in writing via email or official letter. The request will be considered effective only after receiving confirmation from the management.
2. Cancellation Charges
Cancellation charges will be applicable based on the notice period prior to the event date:
30 days or more before the event:
80% of the total booking amount will be refunded.
15–29 days before the event:
50% of the total booking amount will be refunded
7–14 days before the event:
30% of the total booking amount will be refunded.
Less than 7 days before the event:
No refund will be applicable.
3. Advance Payment Policy
The initial booking advance is non-refundable under all circumstances.
However, it may be adjusted for future bookings (subject to availability and management approval).
4. Date Rescheduling Policy
One-time rescheduling is allowed if requested at least 15 days prior to the event.
Rescheduling is subject to hall availability.
Additional charges may apply if the new date falls under peak season.
5. Force Majeure
In case of unavoidable circumstances (natural disasters, government restrictions, political unrest, etc.), management reserves the right to:
Reschedule the event without penalty, or
Offer partial refund or adjustment based on the situation.
6. Refund Processing
Approved refunds will be processed within 10–15 working days.
Refunds will be made through the original payment method or via bank transfer.
7. Management Rights
Dollai Nawabpur Convention Center reserves the right to:
Modify the cancellation policy at any time without prior notice.
Make final decisions in case of disputes.
8. Acceptance of Terms
By confirming the booking, the client agrees to abide by all terms and conditions stated in this policy.
